TaktGefühl · Time off and recovery

Protect time off. Encourage recovery.

TaktGefühl holds back emails after the working day, reminds people about leave and time off in lieu, and shows HR, health and safety and the works council where workload is building up in teams – without monitoring individuals.

  • Time off and recovery included in all plans
  • Personal information visible only to you
  • Workload overview in the largest plan

The “TaktGefühl” page under “My area” – visible only to the person themselves.

Stage 1 · Time off · included in all plans

Emails arrive when you are working.

After-hours quiet holds back emails outside your working hours and delivers them when you next start work – several at once as a single digest email. In the app, everything is visible straight away.

  • On by default: A working-hours window applies to the whole organisation, 7 am to 6 pm out of the box.
  • Your hours: Everyone can set their own hours per weekday – or choose “Everything immediately”.
  • On shift, the rota counts: Anyone who works to a rota can be reached during their shifts, not in the office window.
  • Visible to senders: Anyone deciding on a request in the evening sees straight away when the email will arrive.

Urgent news arrives immediately

Shift changes for today or tomorrow always go out immediately – even after hours. Only what can wait until tomorrow is held back.

Welcome back

After leave or another absence, a digest email with everything that happened in the meantime awaits you on your first working day – instead of a full inbox.

End-of-day reminder

Voluntary and switched on by each person individually: at the time you choose, Taktavo reminds you that your working day is over if you are still clocked in. You are never clocked out automatically.

Stage 2 · Recovery · included in all plans

A page that belongs only to you.

Under “My area → TaktGefühl”, everyone can see how their recovery is going – and gets concrete suggestions instead of a score.

Recovery barometer

Missing breaks, short rest periods under eleven hours and late days over the last few weeks – one sentence of explanation per sign, no overall score. Only you can see it.

Leave reminder

After 60 days without leave, Taktavo reminds you to take some time off – your organisation sets the threshold.

Bridge day planner

Shows where a few days of leave give you long stretches of time off – based on the public holidays of your German federal state. One click opens the request.

Compensation day suggestion

If your balance is over +20 hours, Taktavo suggests a day off and opens the matching request. The threshold is adjustable.

With and without time tracking

Breaks, rest periods, late days and the balance come from time tracking. Without it, the page shows the leave part: leave reminder and bridge days. For breaks during the working day itself, there is FokusTakt.

Stage 3 · Organisation

Share demanding shifts fairly.

With shift planning, TaktGefühl also protects the rota: from short-notice changes and from imbalance between the people in a team.

Workload overview · in the largest plan

Spot workload before it makes people ill.

For HR, health and safety and the works council: summarised per team and quarter, with traffic lights based on your organisation’s thresholds.

  • Five key figures: average balance, days over ten hours and rest periods under eleven hours per 100 working days, average remaining leave and the share of short-notice plan changes.
  • No individuals: Teams of fewer than five people are combined. No names, no weeks, no drilling down.
  • Logged: Every access is recorded – who, and which quarter.
  • For reports: Export as CSV and Excel, plus a print view.

A basis for the risk assessment under Section 5 of the German Occupational Health and Safety Act – including mental stress.

For HR

See in which teams overtime is piling up, leave is going untaken or plans keep changing at short notice – early enough to take action.

For health and safety

Figures instead of gut feeling for the risk assessment under Section 5 of the German Occupational Health and Safety Act, including mental stress – comparable quarter by quarter.

For the works council

A role of its own with its own permission: employee representatives see the workload per team, without names and without individual weeks – and every access is traceable.

In the largest plan

Time off and recovery (stages 1 and 2) are included in all plans. The workload overview is part of the largest plan. No existing role has its permission – not even administrators. You create a dedicated role for it, such as “Works council” or “Health and safety”.

Privacy and trust

Care, not surveillance.

TaktGefühl is built for the people it is about. Every building block rests on that.

Personal stays personal

Only the person themselves sees the barometer, reminders and suggestions – not HR, not administrators. No analysis across people, no key figure for managers, no export.

Only groups of five or more

The workload overview shows teams and quarters, never individuals. Smaller teams are merged into a larger group.

Notices instead of blocks

TaktGefühl blocks nothing and gives no scores. The traffic lights apply to teams, never to individuals, and there are no rankings.

A permission of its own

Only people explicitly given the permission through a dedicated role can open the workload overview. No existing role has it.

Every access logged

Who opens the workload overview, and for which quarter, is recorded in the log. That way it stays traceable who has looked.

Each building block can be switched off

Your organisation switches each building block on or off individually. In addition, everyone can unsubscribe from personal reminders themselves.

Easy to agree with works and staff councils

TaktGefühl gives the employer no data on the performance or behaviour of individuals. The barometer is calculated on request from existing times, accounts and absences and is not stored; the workload overview only knows aggregated groups.

FAQ

Questions about TaktGefühl.

General questions about operation, rollout and integration are answered on the home page.

Can my manager see my recovery barometer?

No. Only the person themselves sees the barometer – not HR and not administrators either. There is no analysis across people, no key figure for managers and no export.

Do urgent changes still get through?

Yes. Shift changes for today or tomorrow always go out immediately, even after hours. Only emails are held back; in the app, everything is visible straight away. Anyone who prefers to get everything at once chooses “Everything immediately”.

What does TaktGefühl cost?

After-hours quiet, welcome back, end-of-day reminder, recovery barometer, leave reminder, bridge days and compensation day are included in all plans. The workload overview is available in the largest plan.

Can TaktGefühl be switched off?

Yes. Whoever manages users switches the building blocks on or off for the whole organisation under Administration → Rules → TaktGefühl and also sets the working-hours window and thresholds there. In addition, each person can set their own hours, choose “Everything immediately” and unsubscribe from personal reminders.

What does the workload overview require?

The largest plan, switching it on under Administration → Rules → TaktGefühl, and a dedicated role with the permission “Read workload overview”, for example “Works council” or “Health and safety”. Balance, long days and short rest periods come from time tracking, remaining leave from absences and the short-notice changes from shift planning.

Do we need time tracking for this?

Not for everything. After-hours quiet, welcome back, leave reminder and bridge days already work with absences alone. Breaks, rest periods, late days, balance, compensation day and the end-of-day reminder need time tracking; the planning notice period and fairness need shift planning.

Working together

Fits with everything you already use.
